Perhaps the best way to determine if maintaining an accurate communications inventory without tools specific to that function is manageable is to look at the process required to maintain an accurate inventory.
- A single, enterprise-wide repository of inventory by contract, cost center, entity, and employee. Inventory is generally captured from current billings and reconciled against the most recent database. If no database exists, one must be created from information that resides in multiple locations, including spreadsheets, carrier invoices, customer records and any other data sources available.
- Automatic tracking of changes to each attribute (profiles, products, rates, and monthly activity). Each individual inventory item should be linked to the contracted rate, assigned cost center or allocation unit; entity and/or employee details should be captured as well. Any changes to these attributes (products, rates, monthly usage) must be updated in the database.
- Alerts for under/non-utilized inventory. Alerts should be issued for any under or non-utilized inventory, products, or services and the only way to do this is by consistently tracking usage.
So is it possible to manage an accurate inventory without special systems? As previously stated, the dynamic nature of inventory is such that time consuming and resource intensive manual processes would be needed.
